How to grow repeat clients at your salon

Grow repeat clients at your salon: rebook before they leave, remind them when they are due, win back the ones drifting away and measure who comes back.

To grow repeat clients, book the next visit before the client leaves, remind them when they are due if they didn’t book, and contact the ones who are drifting away before they are gone. Then measure two numbers every month: how many clients came back, and how many booked their next visit at the desk. Discounts help a little; habits at the desk help much more.

Measure repeat clients first: two numbers

  • Came-back %: of the clients who visited in a month, how many came again within 60 days (or 90 for colour and treatments).
  • Rebooking rate: of the clients who paid, how many booked their next visit before leaving.

A sample month: Demo Salon saw 120 different clients in August. By the end of October, 78 had been back, so came-back within 60 days is 65%. Of the 120, 30 booked their next visit at the desk, a rebooking rate of 25%. The second number is the one you can move fastest, because it depends only on the desk asking.

Without software, take one page of last month’s register: count the names and tick the ones who have been back. With Frizzi, the Analytics dashboard (Plus and Pro) shows came back % and rebooking rate, plus who came again within 30, 60 and 90 days for each of the last six months. See reports and analytics.

Rebook before they leave

The easiest repeat visit is the one booked at the desk, while the client is happy with their hair. Train the desk to ask every time, with a date, not a vague “come again”:

“Your colour will need a touch-up in about five weeks. Shall I book you with Pooja on Saturday the 13th, same time?”

Give each service a usual gap, so the desk knows what to suggest. These are starting points; change them to fit your clients:

ServiceUsually back after
Men’s haircut, beard3–4 weeks
Women’s haircut6–8 weeks
Root touch-up4–6 weeks
Global colour6–8 weeks
Threading2–3 weeks
Waxing3–5 weeks
Facial, clean-up3–4 weeks
Keratin, smoothening4–6 months

In Frizzi you set “Usually back after” on each service, and after billing the till offers “Book next visit” with the date already worked out. That is in every plan; see appointments.

Remind clients when they are due

Not everyone books ahead. For the rest, send one message when they are due, using the usual gap for their last service or their own habit:

Hi Rohan, it’s been about four weeks since your last cut at Demo Salon. Want us to keep Saturday morning for you? Reply here or book in the app.

One message, at the right time, with an easy way to book. Not three messages and a discount. Frizzi Plus sends this “next visit due” message by itself, through the Frizzi client app or WhatsApp; read the WhatsApp guide for the rules on sending.

The first 90 days decide it

The third visit is often the one that turns a client into a regular, and a first-time client who doesn’t come back within one usual gap often never does. Look after new clients on purpose:

  1. First visit: note what they had, who did it, and anything personal (allergies, colour formula, how they like it). Ask for their birthday.
  2. Same day: a short thank-you with a feedback link. If they score you badly, call them before they tell anyone else.
  3. At the usual gap: the “due” message, with the same stylist named.
  4. Second visit: the stylist remembers them. That, not a coupon, is what brings the third.

Frizzi keeps a “New” group of clients whose first visit was in the last 30 days, so you can see who is in this window. Notes, allergies and colour formulas live on the client record.

At-risk and lost clients, and how to win them back

Every client has their own rhythm. Someone who comes every four weeks is “late” at six weeks; someone who comes every three months isn’t. Group clients by how late they are against their own gap:

  • At risk: away about one and a half times their usual gap. A friendly “we miss you” works best here.
  • Lost: away three times their usual gap, or six months or more. Worth one honest message with a reason to return, then let them go.

Frizzi works these groups out for you on Plus and Pro, with a win-back priority, and Plus can send the “we miss you” message by itself, optionally with a one-time personal coupon. Ask the stylist who last served them to send it; it reads as care rather than marketing.

Birthdays and the personal touch

Small personal details bring people back more reliably than discounts. Note the colour formula so the next colour matches. Note that she likes her coffee without sugar, or that he needs to leave by 10 for work. Note allergies, and check them every time. A client who feels known has a reason to come back to you rather than the salon that opened next door.

A birthday message with a small treat (a free head massage with any service that month) is the one promotional message nearly everyone welcomes. Collect birthdays at the first visit; the year is optional, which makes people more willing to share. Anniversaries work well for couples’ salons and spas. Frizzi Plus can send both on the day or a few days before, at 10:30 am.

When a stylist leaves

Clients follow people. When a stylist leaves, look up the clients they served most and have the desk call each one: who will look after them now, and a first visit with the new stylist at the usual price. Frizzi shows each client’s favourite stylist on their profile, so this list takes minutes, not a day.

A monthly routine

  1. Check came-back % and rebooking rate against last month.
  2. See which stylist rebooks the most, and ask them to show the others how.
  3. Go through the at-risk list and call the top ten.
  4. Check new clients from last month: who hasn’t been back?

Our weekly reports guide has the rest of the numbers worth watching, and the loyalty guide covers rewards once these habits are in place.

Questions

What is a good rebooking rate for a salon?

There is no reliable Indian figure. Measure yours for a month, then try to raise it by asking every client with a specific date. The trend matters more than any target.

How often should I message clients?

One reminder when they are due, a birthday message, and at most one offer a week to clients who said yes to offers. More than that and people stop reading.

Do I need a membership to get repeat clients?

No. Rebooking at the desk and a reminder at the right time do most of the work. Add a membership or points once those habits are running.
