How to reduce no-shows at your salon

Reduce no-shows at your salon with reminders the day before and hours before, deposits for big bookings, a clear policy, a waitlist and kindness to regulars.

To reduce no-shows at your salon, do four things in this order: remind every client the day before with a way to confirm or cancel, remind them again a few hours before, ask for a deposit only on long or expensive bookings and from clients who have missed before, and refill freed slots from a waitlist. Most no-shows are people who forgot or felt awkward cancelling. Make cancelling easy and most of them turn into cancellations you can fill.

Why clients don’t turn up

Before you fix it, know what you are fixing. In most salons the reasons are the same few:

  • They forgot. Booked two weeks ago on a call, never thought about it again.
  • Plans changed and cancelling felt rude. Calling the salon to say no is uncomfortable, so they just don’t come.
  • They booked “just in case”. Common before festivals and weddings, when clients hold slots at two places.
  • They were running late and gave up. If nobody says “we can still fit you in”, they assume they can’t come.

Only the third is really about commitment. The other three are fixed by messages, not by fees.

Count what no-shows cost you

Write down every no-show for two weeks, with the client, the service and its price. A sample week:

Sample weekNumber
Appointments booked140
No-shows9 (6.4%)
Average booked value₹1,100
Chair time lost₹9,900 a week
Over a year, if nothing changesabout ₹5,14,800

Not all of that is lost, because some slots get a walk-in. But it is the number that makes everyone at the desk take reminders seriously. Note which clients appear twice. Often a small group of clients causes many of the misses, and that group is where deposits belong.

Reminders that people answer

Two reminders do most of the work:

  1. The day before, with three choices: Confirm, Reschedule, Cancel. A cancellation at 6 pm the day before is a slot you can still fill.
  2. A few hours before, short and friendly. This catches the people who confirmed and then forgot.

Keep the words plain. A sample day-before message:

Hi Neha, see you tomorrow, Sat 8 Nov, at 11:30 am at Demo Salon for a hair spa with Pooja. Reply or tap to Confirm, Reschedule or Cancel. If plans change, just tell us, no problem.

“No problem” matters. It tells the client cancelling is fine, which is exactly what you want them to do instead of vanishing. Send reminders on WhatsApp or in an app the client already uses; read our WhatsApp guide before you start, because WhatsApp needs consent and approved message templates.

In Frizzi, the booking confirmation, the day-before reminder with Confirm / Reschedule / Cancel and the few-hours reminder are on in every plan. They go in the Frizzi client app, or on WhatsApp when you connect your own WhatsApp Business number. See WhatsApp reminders.

Deposits, only where they earn their keep

Asking everyone for a deposit puts off good clients and slows the phone down. Ask for one where a no-show really hurts:

WhenExample rule
Long or costly servicesKeratin, smoothening, global colour, bridal makeup: 20% of the service
Big bookings20% of any booking over ₹2,000
Repeat no-showsAny client with 2 or more no-shows: ₹300 on the next booking
Group bookingsBride’s party or office group: a fixed amount per person

Take the deposit by UPI or cash, and always take it off the final bill. In Frizzi Plus, deposits can be asked for by amount, by a client’s no-show count, or by service. The desk takes the money and it goes into the client’s wallet, so “Bill now” uses it by itself. Frizzi doesn’t take online payments, so a phone booking pays to your UPI QR and the desk records it. How much to ask, and what to say, is in our cancellation policy guide.

Write a policy you will actually use

A policy only works if clients see it before they book and staff apply it the same way every time. Keep it to three lines: how much notice you need (four hours is common for normal services), what happens after that, and when you ask for a deposit. Print it on the menu card and put it in the booking confirmation. Then decide who can waive a fee, and stick to it.

Online bookings need rules too

Bookings made in an app or on a website are easy to make and easy to forget. Three settings help: how far ahead a client must book (an hour or two stops “I’ll book and see”), how far ahead they can book (two weeks keeps the calendar real), and whether you accept each app booking yourself before it is confirmed. In Frizzi these booking rules are in every plan, and you choose which services and stylists clients can book online at all. Long or costly services can stay phone-only until a deposit is paid. See online booking.

Refill the slot, don’t just mourn it

A cancellation is only a loss if the chair stays empty. Three ways to fill it:

  • A waitlist. Keep a list of clients who wanted a fuller day: “Saturday, after 4 pm, colour.” When a slot frees, message them. In Frizzi Plus, the first three matching clients are told at once and can book in one tap.
  • Walk-ins. Tell the desk which stylists have just got free time. Our guide to walk-ins and appointments has a simple mix that works.
  • Move someone earlier. A client booked at 6 pm may happily come at 4.

Track no-shows per client, and be kind to regulars

Keep a count on each client’s record. One missed visit in three years from a client who comes every month is life happening; three in two months is a pattern. Frizzi shows “Missed 2 appointments before” when the desk books someone with a history, and has a no-shows group in client records, so you can see who keeps missing.

With regulars, be generous. Waive the first late cancel, call instead of charging, and thank them when they do cancel in time. The goal is fewer empty chairs, not more fees. A fee you charge a loyal client once can cost you years of visits.

A five-minute weekly routine

  1. Check last week’s no-shows and late cancels: how many, which clients, which days.
  2. Add a deposit rule for anyone with two or more misses.
  3. Look at which day had the most gaps, and push the waitlist for that day.
  4. Check that every booking last week got its reminder.

Questions

What is a normal no-show rate for a salon?

There is no reliable Indian figure, and it depends a lot on how you take bookings. Measure your own for two weeks: no-shows divided by appointments booked. What matters is whether your number goes down after reminders and deposits start.

Should I charge a no-show fee?

Only once you have reminders running and a written policy clients have seen. Start with deposits on big bookings and for repeat no-shows, and waive the first miss for regulars.

Does Frizzi send SMS reminders?

No. Frizzi reminders go in the Frizzi client app, or on WhatsApp from your own WhatsApp Business number once it is connected. SMS is used only for sign-in codes.
